Assistant Controller

The ideal candidate for this position:

The ideal candidate shall have experience with all accounting and management functions. These functions & responsibilities include (but are not limited to) preparing financial reports, analyzing financial information and preparing general ledger reconciliations. Manage daily activities of the accounting/finance department team. This position includes tasks and responsibilities in which the individual is fully accountable for the results.

What you will be doing

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to:

 Supervisory Duties: 

  •  Oversee the daily activities of the accounting/finance department
  •  Develop, maintain and implement accounting/financial policies and procedures
  •  Provide recommendations for cost and operating expense reductions
  •  Responsible for the daily management of accounting/finance staff including hiring, developing, training, reviewing and discipline

 Financial Reporting Preparation: 

  •  Maintain depreciation schedules and record monthly depreciation
  •  Determine accrued and prepaid expenses and record monthly accordingly
  •  Prepare bank reconciliations
  •  Prepare monthly and quarterly payroll reconciliations
  •  Ensure subsidiary ledgers reconcile to general ledger values
  •  Assist with Work in Process schedules
  •  Prepare other financial analysis as requested or required
  •  Compile necessary information for annual auditors/accountants

 Accounts Payable functions and responsibilities:

  •  Manage the accounts payable process and ensure timeliness and accurate results
  •  Review and approve weekly payables and ensure accuracy
  •  Manage the annual 1099 filings and ensure accuracy and timely submission


 Accounts Receivable functions and responsibilities:

  •  Manage weekly/monthly billings to clients & corresponding postings
  •  Ensure all required client purchase orders and/or change order are obtained for new work
  •  Manage the distribution of project tracking reports to managers monthly and as necessary

General Ledger maintenance functions:

  •  Maintain the general ledger structure and prepare reconciliations as needed
  •  Process journal entries into various accounts
  •  Reconcile general ledger records to determine mispostings and identifying corrective measures required

Other Operating Tasks: 

  •  Manage leased office/warehouse contracts and associated logistics
  •  Manage insurance claims and resolution
  •  Manage state compliance requirements for registration and licensing
  •  Coordinate required items for bid submission packages
  •  Assists others as needed on special projects

Bachelor’s degree in Business/Accounting or equivalent for four-year College or technical school; or five to ten years related experience and/or training; or equivalent combination of education and experience.


Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


Proficient in computer word processing and type at lease 40-45 wpm. Ability to operate general office equipment, including: telephones fax machines, photocopiers, printers, typewriters, and postage machines.


Valid New York State Driver's License
